People may assume that a Cloud Computing Solution is only something that a small business or corporate business would look at. However the more progressive charities are using cloud computing solutions as a way to enable their workforce and keep costs down. Using Microsoft Service Provider Licence Agreement (SPLA) licences, or non-profit plans in Microsoft 365, charities are able to reap the benefits that Microsoft offer in terms of reduced license costs. Age UK (Essex) are an example of this and below is an overview of the solution that Your Office Anywhere provided to them.
Age UK Essex employed approximately 500 staff and had 300 volunteers. Of these around 100 used desktop services which were accessed from 28 fixed sites (includes 9 home based workers). Age UK Essex had a mixture of PC’s and Chromebooks and the IT desktop strategy was to provide the majority of IT users with a Chromebook
Your Office Anywhere were asked to provide a solution for Age UK Essex to allow the use of Chromebooks with a hosted desktop solution to run Microsoft Office in the cloud. Although connectivity using Chromebooks had at that time not been tried before, Your Office Anywhere were confident in the flexibility of the platform and that the platform was designed to allow connectivity from any device that would allow RDP connectivity. Your Office Anywhere successfully tested and provided an analysis of the various Google Chrome RDP clients suitable for connection to the Your Office Anywhere solution in their demo environment, prior to AGE UK Essex committing to the solution.
Your Office Anywhere also provided a solution where they could declare all the users on the platform who needed to run the various office applications but limit this to a concurrency solution to reduce the overall monthly cost – the concurrency solution allowed Age UK Essex to change the number of users allowed on the system as workloads changed whilst maintaining a cost effective solution. Your Office Anywhere proactively notified the IT staff at Age UK Essex automatically should they get close to the limit of connections allowed (before completely stopping access to a user because the limit has been reached) so they could take a decision as to whether they should increase this temporarily for the month.
For printing we worked with Age UK Essex and successfully trialed and implemented a printing solution using Google Cloud Print (since deprecated by Google) with local print servers to allow the Chromebooks to print from the remote cloud server to each local Age UK office. This had been rolled out internally as well and Google Cloud Print allowed for local printing on the Chromebooks as well as printing from the Your Office Anywhere platform
Robert Stanford IS Manager at Age UK Essex at the time provided the following feedback on the solution Your Office Anywhere (Cardium Outsourcing Ltd) provided to Age UK.
“Cardium was the only organisation I approached that immediately understood Age UK Essex’s zero desktop support strategy. They fully understood the concept of using Chromebooks and other devices (including Windows) to deliver a managed Windows 7 desktop environment to support legacy dependencies that fully integrated with our Google Apps deployment. Cardium then went on to work with me to produce a detailed technology specification to a tight budget. I was impressed with Cardiums “can do” attitude, extensive knowledge and willingness to prototype solutions at low risk to Age UK Essex. Cardium have continued to deliver excellent customer service which is cost effective and responsive.”
